GSA Contractor Assistance Visits

Once you have an awarded GSA Schedule Contract, it is important to keep records and ensure compliance with the terms of your contract. Twice during your five year GSA contract term, you'll have a Contractor Assistant Visit (CAV). Some people think of the CAV as an audit, but the purpose is really to make introductions, assess your performance, check records, and identify any problem areas. If there are any serious concerns that exist after the CAV, your Contracting Officer will give you the opportunity to correct these issues.

The person who comes to your office is called an Industrial Operations Analyst (IOA). IOAs are based regionally, and with no binding authority, their job is to be the eyes and ears of your Contracting Officer. The IOA will ask you a variety of questions, review some of your GSA and non-GSA sales records, and answer any questions you have. After the 2 hour meeting, the IOA reports his or her findings to your Contracting Officer based on the criteria set forth in the Contractor Report Card, which you can view here: https://vsc.gsa.gov/reportcard/reportcard.pdf.

To prepare for a CAV, you'll want to pull your contract files including your Final Proposal Revision, CSP-1 disclosures, your current GSA Pricelist, and any modifications you've made. You will also need to pull sales records for selected GSA and commercial (non-GSA) sales for a certain time period, as advised by the IOA. Be sure that the meeting includes the people in your company who are familiar with your GSA contract, accounting system and sales history.
